Donation Privacy Policy
How IN TIME OF NEED Incorporated collects, uses, and protects your information when you give — and what we promise never to do with it.
1. Our commitment to donors
IN TIME OF NEED Incorporated ("ITN," "we," "us") is a registered 501(c)(3) nonprofit organization (EIN 56-2126728) serving the Atlanta community since 1997. Your trust makes our work possible, and that trust extends to how we handle your personal information. This policy explains what we collect when you donate, how we use it, and the choices you have.
2. Information we collect
When you make a donation, we may collect:
- Contact information — your name, mailing address, email address, and phone number, used to acknowledge your gift and issue your tax receipt.
- Donation details — the amount, date, frequency (one-time or recurring), and any designation or dedication you attach to your gift.
- Payment information — collected and processed by our third-party payment processor. ITN does not receive or store your full credit card, debit card, or bank account numbers on our own systems.
If you donate by check or in person, we record the same contact and donation details for our books and for your receipt.
3. How we use your information
- To process your donation and send you a written acknowledgment and tax receipt.
- To maintain accurate financial and donor records, as required of tax-exempt organizations by the IRS.
- To respond to your questions about your gift.
- To send you updates about our programs, impact, and giving opportunities — only if you have not opted out.
4. What we will never do
- We will never sell, rent, trade, or share our donor list with any other organization, business, or individual.
- We will never send donor mailings on behalf of other organizations.
- We will never publicly recognize a donor by name without their permission.
The only exceptions are disclosures required by law — for example, contributor information that must be reported to the IRS on Schedule B of our Form 990, which the IRS does not make public for organizations like ours — or disclosures needed to complete your own transaction (such as our payment processor handling your card).
5. Payment security
Online donations are processed through a PCI-DSS–compliant third-party payment processor over an encrypted (HTTPS) connection. Your full payment credentials are handled by the processor, not stored by ITN. Paper records containing donor information are kept in a secure location with access limited to staff and board members who need them to do their jobs.
6. Anonymous giving
You may request that your gift remain anonymous. Anonymous donors are excluded from any public donor recognition. Note that we still must keep your name and address in our internal books and records, as the IRS requires, but that information is not published or shared.
7. Your choices
- Opt out of communications — every email we send includes an unsubscribe link, and you may contact us at any time to be removed from mail, email, or phone lists.
- Access and correction — you may ask us what contact information we hold about you and request that we correct or update it.
- Recurring gifts — you may change or cancel a recurring donation at any time by contacting us.
8. Children's privacy
Our donation pages are intended for adults. We do not knowingly collect personal information from children under 13. If you believe a child has provided us personal information, contact us and we will delete it.
9. Data retention
We retain donation records for as long as required for tax, accounting, and legal purposes. Records no longer needed are disposed of securely.
10. Changes to this policy
We may update this policy from time to time. The current version will always be posted on this page with its effective date.
